LOCATION: TORONTO, ON


Position: Publishing and Licensing Coordinator 

The position of Publishing and Licensing Coordinator will require the handling of all copyright administration and working closely with the Director of Publishing and Licensing to assist in the execution of various publishing and licensing duties. Tasks will include: 


JOB DUTIES & RESPONSIBILITIES: 

Publishing Administration

  • Preparation of quarterly client statements using Music Maestro
  • Processing royalty statements received from collection societies and other third parties
  • Processing new works and agreements as the company acquires rights to new compositions and catalogues
  • Registering all works and agreements with the collection societies and with sub-publishers
  • Preparing, issuing, and monitoring direct mechanical licenses
  • Updating and maintaining catalogue with Music Reports, Medianet, Playnetwork, Harry Fox and others
  • Submitting live concert documentation to SOCAN
  • Updating and maintaining publishing metadata for sub-publishers, CMRRA, YouTube etc.
  • Liasing with Youtube partner to ensure account maintenance
  • Facilitating sample clearances

Sync Licensing Administration

  • Preparation and issuing of sync license agreements
  • Preparing audio files and meta-data on DISCO to send for various music submissions
  • Updating and maintaining accounts with BrandsForBands, Tracks & Fields and other online sync platforms
  • Preparation and distribution of the New Release newsletter
  • Assist with music searches and handle all student licensing requests
  • Update and monitor the sync licensing and invoices tracksheet

Copyright Administration

  • Coordinating catalogue shipments to SOCAN, BMI, ASCAP, SESAC, Harry Fox, CMRRA through Music Maestro and Music Mark
  • Ensuring all copyright IP’s are added to Music Maestro
  • Communicating with songwriters to ensure that all new compositions are submitted with all the pertinent copyright information and digital/visual assets for creative purposes

Label Duties

  • Ensuring mechanical licenses are acquired from copyright owners for releases on Arts & Crafts Productions
  • Preparation and issuing of master license agreements

Publishing Intern

  • Ensuring our publishing intern has tasks assigned that benefit the department in a meaningful way

Grants

  • Assisting with the application and reconciliation of all publishing related grants, including MEC, Factor and OMF

Website

  • Regularly adding news and new client information
  • Adding new sync placements and features
  • Find and edit photos for sync placements and artist pages
  • Managing the Publishing Instagram page
  • Prepare and post regular playlists
