Program and Marketing Coordinator - CIMA & MusicOntario

The full-time Program and Marketing Coordinator is responsible for the planning and execution of key event and communications-­related programming initiatives for CIMA and MusicOntario. The Program and Marketing Coordinator will organize and execute select professional development programming, as well as CIMA’s annual gala and awards celebration.

The Program and Marketing Coordinator will also provide broad­‐based support for a wide range of CIMA and MusicOntario initiatives and services, providing assistance to the team on an as-­needed basis.

Reports to: President

Primary duties are:


  1. Plan and execute CIMA’s annual Celebration & Awards Gala, working with the Gala Committee and contractors.
  2. Working with the Administrative Coordinator, coordinate, plan and execute national professional development programming, as directed by Management.
  3. Regularly update CIMA’s social media and website: industry news and announcements; CIMA programming and events; other relevant news and announcements (with the exception of Music Export Canada programming).
  4. Prepare post-­event reports and participant surveys, including tracking marketing initiatives, social media results, and simple financial tracking sheets (with the exception of Music Export Canada programming).
  5. Assist at CIMA events (both during and outside of office hours) on-­‐site, as needed.
  6. Create, execute and edit/review all marketing, communication and event material, as required.
  7. Other duties as assigned.


  1. Maintain and update social media, website and bi-­weekly newsletter/e‐blasts: industry news and announcements; MusicOntario programming and events; other relevant news and announcements.
  2. Assist in preparation event handouts/marketing items, letters of agreement, ticket sales, signage, panelists/speakers, venues, hospitality, etc. for events.
  3. Assist in research for and preparation of grant applications, as needed.
  4. Assist at MusicOntario events (both during and outside of office hours) on-­site, as needed.
  5. Assist with executing MusicOntario’s programs and events (workshops, market access, networking, showcases, panels).
  6. Maintain event­‐tracking sheets.
  7. Other duties as assigned.


  1. Must have excellent communication skills, written and oral
  2. Must have flexible and excellent copywriting skills, using both creative and business tones where necessary
  3. Must have event planning experience
  4. Strong understanding of social media best practices and platforms
  5. Strong multi‐tasking skills on a constant deadline
  6. Knowledge of the Canadian independent music industry
  7. Proficiency in Microsoft Office, MailChimp, SurveyMonkey and Wordpress
  8. Basic knowledge of Adobe Photoshop and Apple/PC platforms

This position is ideally suited to a candidate with 1-3 years experience (recent graduates with no full-time work experience or senior level administrators need not apply).
